Exciting Opportunity for a Project Coordinator at Renowned Architecture Practice

This is an exceptional opportunity for a Project Administrator to join one of the world’s most renowned architecture practices. As an integral part of the project team, you’ll work closely with directors and architectural staff to support the efficient administration and organisation of projects. This permanent role offers the chance to work within a dynamic, creative, and collaborative environment, contributing to the successful delivery of prestigious architectural projects.

As a Project Coordinator, you will play a key role in ensuring smooth project operations by managing day-to-day administrative tasks, coordinating the distribution of project information, and maintaining critical documentation systems. Your organisational skills, attention to detail, and ability to manage multiple tasks in a fast-paced environment will be vital for ensuring the success of the project teams.

The ideal candidate will have a background in administration or data entry, with prior experience supporting creative and collaborative teams. You will be working closely with design teams, contractors, and clients to facilitate smooth project communication and coordination. As well as a strong understanding of project control systems, document management platforms (e.g., Viewpoint, Aconex, Asite), and proficiency in MS Office will be essential.

Key Responsibilities could include:

Ensure timely issue and distribution of project information, including drawings and documentation.

Maintain accurate project filing systems and ensure all information is logged and easily accessible.

Update and manage project trackers to monitor the flow of information and ensure actions are completed on time.

Help maintain project procedures, ensuring they are followed by all team members and contributors.

Manage the uploading and downloading of project information through EDM systems, such as Viewpoint, Aconex, or Asite.

Assist in the preparation and distribution of site reports and other project-related documentation using MS Office Suite.

Maintain order and tidiness within the project team areas and office spaces.

Support the implementation of control systems to ensure project processes run smoothly and efficiently.

Contribute to ad-hoc tasks and administrative duties as required by the project teams.
