Confident Practice Administrator sought for successful architecture practice
A respected and collaborative architecture practice is looking for a friendly, organised, and proactive Practice Administrator to join its busy team.
This is a pivotal front-of-house and administrative role, providing essential support across the studio and ensuring the smooth running of daily operations. Acting as the first point of contact for clients and visitors, you’ll help create a welcoming and professional environment that reflects the values of the practice.
Key Responsibilities
– Serve as the first point of contact for visitors and callers, offering a warm and professional welcome
– Manage incoming calls and emails, ensuring messages are directed promptly and accurately
– Keep reception and meeting areas tidy, well-presented, and ready for clients
– Organise refreshments and meeting room setup for visitors and presentations
– Maintain and update the Document Management System (Blueroom or similar)
– Support directors and staff with expenses, travel bookings, and accommodation arrangements
– Coordinate CPD sessions and liaise with external providers for lunch-and-learn presentations
– Assist with organising office maintenance and liaising with external contractors as required
– Order office supplies and stationery in line with budgets, ensuring the studio remains well-equipped
Marketing & Communications
– Assist with maintaining the practice website and social media channels (LinkedIn, X/Twitter)
– Support the creation and formatting of presentations, brochures, and other marketing materials (InDesign/Canva)
– Contribute to the organisation of client events and studio socials
– Liaise with the IT provider to support smooth tech operations
– Help coordinate staff socials and team-building events
– Ensure confidentiality and professionalism in all aspects of the role
What We’re Looking For
– At least 2 years of previous experience in a similar administrative, studio, or front-of-house role within and architecture or engineering practice
– Excellent organisational and multitasking skills, with strong attention to detail
– Confident, clear, and personable communicator — both written and verbal
– Proactive, adaptable, and supportive team player
– Professional demeanour and a can-do attitude
– Proficient in Microsoft Office (Word, Excel, Outlook)
Desirable Skills
– Experience with Adobe InDesign and Canva
– Familiarity with website management (WordPress or similar)
– Experience maintaining corporate social media accounts
– Knowledge of document management systems
– Full UK driving licence (for occasional local errands such as car maintenance)
– Experience organising social or client events
