Director-Level PA for International Architecture Practice

A leading international architecture practice is looking for an experienced Director-level PA to join its London studio, with the additional scope to support project teams as a coordinator. This is a fantastic opportunity for a highly organised professional with a proven background supporting senior leadership, while also enjoying being part of larger project teams delivering high-profile work.

As PA to two Directors, you’ll manage complex diaries, coordinate meetings, and oversee day-to-day administration ensuring their time is spent effectively. Alongside this, you’ll play an active role in supporting project teams acting as a conduit between the two. You’ll be liaising with clients and consultants, managing documentation, and helping to keep projects running smoothly.

Key responsibilities include:

– Providing a proactive, reliable PA service to Directors

– Managing diaries, inboxes, travel, and timesheets

– Coordinating client meetings, site visits, and project calendars

– Supporting project teams with reports, filing, and contract administration

– Maintaining project databases and systems (Deltek, Newforma)

– Acting as first point of contact for client and consultant queries

– Assisting with project team events and office activities

– Offering occasional reception cover and supporting the wider PA team

What we’re looking for:

– At least 5 years’ experience as a Personal Assistant supporting at SLT or Director level

– Demonstrated commitment to previous employers, with a history of long-term placements (2+ years)

– Experience working as part of a larger project team is highly desirable

– Excellent organisation and multitasking skills with sharp attention to detail

– Strong written and verbal communication skills

– Professional, approachable, and confident in liaising with clients and colleagues at all levels

– Flexible, adaptable, and calm under pressure

– Proficiency in Microsoft Office; experience with Deltek or Newforma a plus

– A proactive, positive attitude with discretion and reliability
