Document Controller sought for interior design practice

(12-month contract)
West London

A luxury interior design practice is seeking a Document Controller / Project Administrator to support a busy, multi-project team. This is a key role focused on maintaining robust document control processes, ensuring accuracy across project information, and supporting the smooth day-to-day running of projects and office operations.

Key duties

  • Manage drawing and document control processes across platforms such as Aconex, ACC, BOX and OneDrive
    • Maintain accurate revision logs, issue sheets, and document numbering systems
    • Set up and manage project folder structures, ensuring information is current and accessible
    • Upload, download, file, and distribute project documents and transmittals to design teams
    • Support FF&E documentation on SpecDesigner, linking drawings to specifications
    • Assist with project scheduling and programme tracking using Microsoft Project and Excel
    • Support document archiving processes (digital and physical)
    • Approve timesheets and produce monthly reports via time management systems
    • Maintain IT asset registers and tagging of equipment
    • Provide general project coordination and office administration support

About you

  • Proven experience in document control and project administration within design, construction, or engineering environments
    • Strong understanding of revision control, transmittals, and maintaining audit trails
    • Confident working to client protocols and managing multiple deadlines
    • Highly organised with excellent attention to detail
    • Strong communication skills and ability to support multiple stakeholders
    • Proactive, adaptable, and comfortable in a fast-paced environment

Systems & software

  • Microsoft Word, Excel, and Project
    • Adobe InDesign and Acrobat
    • Aconex (or similar EDMS)
    • Autodesk Construction Cloud (ACC)

Desirable:
Newforma, MicroStation, BOX, Dropbox, SpecDesigner, and time management systems
