Experienced PA with Project Coordination Skills for Award-Winning Architecture Practice
A renowned, award-winning architecture practice is seeking a PA / Project Coordinator to provide high-level support to two Directors in its London studio. This is an exciting opportunity for a confident and highly organised PA who thrives in a fast-paced creative environment and enjoys combining classic PA duties with wider team coordination.
The core focus of the role is providing proactive and reliable PA support — managing complex diaries, coordinating travel, handling correspondence, and ensuring Directors’ time is spent effectively. Alongside this, you’ll also support architectural teams with project-related administration, meetings, and documentation. We’re looking for someone who values stability and is keen to commit long-term, becoming a trusted and consistent part of the team.
Key responsibilities include:
– Providing comprehensive PA support to Directors, including diary, inbox, and travel management
– Preparing documents, reports, and correspondence on behalf of Directors
– Coordinating client meetings, site visits, and project-related schedules
– Acting as a key point of contact for clients, consultants, and internal teams
– Supporting project teams with reports, filing, and light contract administration
– Maintaining project databases and systems (Deltek, Newforma)
– Assisting with timesheets, expenses, and general administration
– Helping to organise team events and office activities when required
What we’re looking for:
– At least 5 years’ experience as a PA, ideally supporting at Director or senior leadership level
– At least 2–3 years’ experience in a coordination or team support role
– Excellent organisational and multitasking skills with sharp attention to detail
– Strong written and verbal communication skills, confident liaising at all levels
– A proactive, discreet, and professional manner with a positive outlook
– Proficiency in Microsoft Office; knowledge of Deltek or Newforma an advantage
– Experience in architecture, design, or another creative environment is desirable
– Someone seeking longevity in their next role, with the ambition to grow and develop within the practice
