Organised, Proactive Team PA / Project Coordinator for Renowned, Award-Winning Architecture Practice
A renowned, multi award-winning architecture practice is looking for a Team PA / Project Coordinator to join its London studio. This is a fantastic opportunity for someone highly organised and personable who enjoys supporting busy project teams and contributing to the smooth running of a creative architecture studio.
Day to day, you’ll provide essential coordination and administrative support to architectural teams — scheduling meetings, arranging travel, maintaining project documentation, and assisting with reports and contract administration. Alongside this, you’ll also provide some PA support to Directors, ensuring their diaries and communications stay on track.
Key responsibilities include:
– Coordinating meetings, events, and site visits for project teams
– Supporting architectural teams with reports, filing, and contract administration
– Maintaining project databases and documentation (Deltek, Newforma)
– Assisting with project calendars, timesheets, and expenses
– Acting as a point of contact for clients, consultants, and visitors
– Providing PA support to Directors (diary, inbox, and travel management)
– Helping to organise project team events and office activities
– Offering general administrative and occasional reception support when needed
What we’re looking for:
– At least 3 years’ experience as a Team PA, Project Coordinator, or Team Assistant
– Track record of stability and dedication, reflected in multi-year tenures with past employers
– Strong organisational skills with the ability to prioritise and multitask
– Excellent communication skills — confident liaising with clients and colleagues at all levels
– Proficiency in Microsoft Office; experience with Deltek or Newforma an advantage
– Professional, approachable, and adaptable with a positive, can-do attitude
– A strong eye for detail and the ability to work well under pressure
