Practice Operations Coordinator / PA sought for Multidisciplinary Architecture Studio

A respected and long-established architecture practice is seeking a proactive and highly organised Practice Administrator to join its team. This is a key role at the heart of the studio, supporting directors, project teams, and the Practice Co-ordinator to ensure the smooth, efficient running of day-to-day operations.

As the first point of contact for clients and visitors, you will help reflect the practice’s friendly, professional, and design-focused environment. This is a varied and rewarding position offering exposure across all areas of studio life, from administration and project support to events, marketing, and PA duties.

Key responsibilities include:

Acting as the primary point of contact: managing phone calls, handling enquiries, and welcoming clients and visitors.

Keeping the reception area and meeting rooms tidy, organised, and ready to receive guests at all times.

Managing incoming post, the shared email inbox, and general studio filing, scanning, printing, and document control.

Supporting team members with administrative tasks across projects, including regular file audits within the DMS.

Processing expenses, team purchases, course bookings, and assisting with ad hoc tasks for directors.

Providing PA support to directors, including diary organisation, travel arrangements, and preparing materials for meetings and presentations.

Coordinating travel and accommodation for staff as required.

Ordering office supplies and overseeing routine office maintenance.

Assisting with basic IT queries and liaising with external IT support partners.

Updating the practice website and supporting social media activity across LinkedIn and Twitter.

Helping prepare and format presentations, brochures, and other studio documentation.

Supporting the organisation of both client-facing events and internal social activities.

Maintaining archives and project files with accuracy and discretion.

Skills & experience required:

3-4 years’ experience working in a design led studio (Architecture or design preferred) with two years’ experience supporting senior executives.

Outstanding organisational skills with a strong eye for detail.

A confident, polished, and friendly communication style, both written and verbal.

A collaborative mindset and the ability to support colleagues across all levels of the practice.

Professional, adaptable behaviour and the ability to respond well to different working styles.

Proficiency in Microsoft Office and Outlook.

Strong problem-solving abilities and sound judgement.

Discretion and the ability to handle confidential information appropriately.

Adobe InDesign and Canva, or similar design software.

Website content management (WordPress or equivalent).

Analytical ability and confidence interpreting basic project or financial data.

Experience using document management platforms such as Blueroom.

Event planning for groups of 30+.

A full driving licence (for occasional duties involving pool cars).
