Experienced PA / Project Coordinator for International Architecture Practice

A leading international architecture practice is looking for an experienced PA / Project Coordinator to join its London studio. This is a fantastic opportunity for a highly organised professional with proven experience supporting senior leaders while coordinating complex project work.

As PA to two Directors, you’ll manage busy diaries, coordinate meetings, and handle day-to-day administration, ensuring their time is spent effectively. At the same time, you’ll act as an integral member of project teams — liaising with clients and consultants, managing documentation, and supporting the smooth delivery of high-profile projects.

Key responsibilities include:

– Providing a proactive, reliable PA service to Directors

– Managing diaries, inboxes, travel, and timesheets

– Coordinating client meetings, site visits, and project calendars

– Supporting project teams with reports, filing, and contract administration

– Maintaining project databases and systems (Deltek, Newforma)

– Acting as first point of contact for client and consultant queries

– Assisting with project team events and office activities

– Offering occasional reception cover and supporting the wider PA team

What we’re looking for:

– At least 4 years’ experience as a Personal Assistant, ideally supporting senior leaders

– At least 3 years’ experience as a Project Coordinator (or in a similar role)

– Excellent organisation and multitasking skills with sharp attention to detail

– Strong written and verbal communication skills

– Professional, approachable, and confident in liaising with clients and colleagues at all levels

– Flexible, adaptable, and calm under pressure

– Proficiency in Microsoft Office; experience with Deltek or Newforma a plus

– A proactive, positive attitude with discretion and reliability
