Proactive, Organised PA / Project Coordinator for International Architecture Practice

A world-renowned architecture practice is seeking a PA / Project Coordinator to join its London team. This is an excellent opportunity for someone highly organised, personable, and proactive to provide vital support to two Directors and their project teams.

This is a role with real variety. One day you might be coordinating client meetings and managing diaries, the next, preparing reports, arranging travel, or supporting project teams with documentation and contract administration. You’ll act as a trusted point of contact for colleagues, clients, and consultants, ensuring everything runs smoothly and your directors’ time is spent where it matters most.

Key responsibilities include:

– Providing a proactive and reliable PA service to Directors

– Managing diaries, inboxes, timesheets, and travel arrangements

– Coordinating client meetings, site visits, and project calendars

– Supporting project teams with filing, reports, and contract administration

– Maintaining project databases (Deltek, Newforma) and documentation

– Acting as first point of contact for project calls and correspondence

– Assisting with project team events and office activities

– Offering occasional reception cover and supporting fellow PAs when needed

What we’re looking for:

– Previous experience as a PA, Team Assistant, or Project Coordinator

– Excellent organisation and multitasking skills with sharp attention to detail

– Strong written and verbal communication skills

– Professional, approachable, and confident in liaising at all levels

– Flexible, adaptable, and calm under pressure

– Proficiency in Microsoft Office; experience with Deltek or Newforma a bonus

– A positive, can-do attitude with discretion and reliability

This is a fantastic opportunity to join a collaborative, design-led studio with a global reputation, where you’ll play a key role in supporting Directors and contributing to the success of high-profile projects.
