Resourceful Executive Assistant for Director of Design Practice

A Director within a leading architecture practice is seeking an Executive Assistant to provide high-level professional and organisational support. This is an excellent opportunity for a polished, culturally aware and exceptionally organised individual to become a key partner within an internationally recognised design and architecture studio. Operating in a dynamic, deadline-driven environment, you will work closely with the Director to ensure both day-to-day operations and broader project commitments run seamlessly across multiple global time zones.

Key Responsibilities

Deliver proactive diary and inbox management, coordinating a busy schedule of domestic and international commitments.

Organise complex worldwide travel arrangements, itineraries and logistics.

Communicate with confidence when liaising with clients, collaborators and senior stakeholders, always upholding professionalism and discretion.

Prepare correspondence, presentations and documentation with exceptional accuracy, clarity and contextual understanding.

Manage communications across Outlook, Teams, WeChat, WhatsApp and Microsoft Office; familiarity with InDesign is an advantage.

Provide personal support where required, including travel coordination and property/household organisation related to the Director’s responsibilities.

Handle sensitive and confidential information with the utmost integrity.

About You

Outstanding written and verbal communication skills, capable of producing polished correspondence for the Director’s network.

Proven experience supporting senior leaders or founders within fast-paced creative, architectural or design-driven environments.

Exceptional organisational and time-management abilities with the foresight to anticipate needs and support effectively.

Professional, composed and consistently reliable in high-pressure situations.

Highly proficient in Microsoft Office and related platforms; experience with InDesign is beneficial.

Culturally aware with a genuine interest in architecture, design, art and contemporary lifestyle sectors.

Flexible and adaptable, with the capacity to support international projects and time zones when required.
