Supportive Studio Coordinator Sought for Respected Architecture Practice

A respected architecture and design practice is looking for a friendly and supportive Studio Coordinator to join its welcoming London team.

This central role sits at the core of a vibrant creative studio, offering essential support across administration, HR coordination, and light PA duties. As the first point of contact for visitors and collaborators, you’ll help ensure the studio runs smoothly while maintaining a warm, well-structured, and professional atmosphere.

Responsibilities

Assist the Finance Manager with processing staff expenses and managing receipts

Arrange QA meetings (ISO/WREN/Project checklists) and provide support with project administration

Keep project management tools and HR systems (Rapport3) accurate and up to date

Help oversee studio facilities, supplies, and general upkeep

Provide administrative assistance to project teams when needed

Coordinate internal meetings, staff reviews, and shared calendars

Support the planning of CPD sessions, training opportunities, and social events

Contribute to updating company policies, internal documents, and HR records

Aid with the employee life cycle, including onboarding, inductions, and work experience placements

Assist with volunteering programmes and wider studio initiatives

Offer light PA support to directors — diary management, meeting coordination, and travel arrangements

Assist with scheduling, preparing documents, and liaising with clients

Provide reception cover when needed, ensuring a polished and professional front-of-house presence

About you

2–3 years’ experience in a similar administrative role within an architecture or design-led environment is imperative

Excellent organisational abilities with strong attention to detail and the capacity to multitask

Confident, friendly, and professional communicator

Skilled in Microsoft Office (Word, Excel, PowerPoint, Outlook)

Working knowledge of InDesign is a bonus

Collaborative, adaptable, and comfortable working both autonomously and alongside others

An interest in architecture, design, or the creative sector is advantageous

Must have the right to work in the UK
